Wedding day transportation looks simple—until you start mapping bridal party, family rides, hotel-to-venue guest shuttles, and end-of-night returns onto the same timeline. This checklist organizes the decisions so your transportation lead can confirm the plan in one quote.

Step 1: list every leg

Common legs: bridal-party prep-to-ceremony, ceremony-to-reception, hotel-to-venue guest shuttle (often looped), end-of-night reception-to-hotel, and any next-day brunch shuttle.

Out-of-town family airport pickups are a separate booking—coordinate with the same chauffeur for continuity if possible.

Step 2: lock the timeline

Work backward from ceremony start. Bridal party usually arrives 30–45 minutes before. Guest shuttle pickups start 60–90 minutes before, depending on hotel-to-venue distance.

End-of-night returns are easier to plan if you set 1–2 fixed pickup windows rather than “as guests are ready.”
